Pick the pattern, not just the property

One residence
A common base for meals and time together. Verify actual sleeping arrangements, dining seats, parking, accessibility and gathering rules; a headline bedroom count is not a rooming plan.
A hotel block
Individual privacy and hotel services, with a contract that needs attention to room types, release dates, minimum nights and cancellation or attrition terms. Negotiate and confirm directly with the hotel or your advisor.
Several residences or hotels
Useful for mixed households or preferences. Plot the actual addresses and pickup windows before promising that everyone can meet in five minutes.
Aspen or Snowmass
Choose around the group’s skiing, non-skier days and evenings. Neither location makes every activity walkable; compare the actual accommodation address.

Rooming

Household, preferred bed arrangement, children, mobility needs and arrival/departure dates. Confirm who is sharing rather than deciding it for them.

Arrivals

Flight or arrival route, airport, party size, luggage and the destination address. Separate simultaneous flights into manageable vehicle groups.

Shared bookings

One dinner, one main occasion and the activities that require everyone. Let the rest of the group separate by interest.

Approvals

One person who can approve scope and cost, plus a clear agreement about how guests or the host will pay.

Design around the slowest transition

A group of twelve moving from different houses to dinner needs a different plan from four people leaving one hotel. Allow for getting ready, collecting children and loading equipment. A driver should be booked around the actual sequence rather than a nominal start time.

Tell me what is already settled

Send dates, confirmed and possible headcount, purpose of the trip, accommodation status, rooming needs, airports, the one or two shared events and budget priorities. If you have an advisor or planner, include them in the coordination route you choose.

Is a house always better for a group?

No. Compare bed privacy, communal space, access, gathering rules and transport against a hotel block before deciding.

Can you handle people arriving on different flights?

Yes, within an approved transport scope and using each party’s actual flight, airport and address.

Should every day be a group activity?

Usually not. Keep the meaningful shared moments and allow guests to separate by interest or ability.
